We are a dynamic Southern California Plumbing, Heating and Air Conditioning company and we have an immediate need for an exceptional Accounting Assistant II to join our winning team!

 

Job Description:

Reporting to the Accounting Administrator, you will be responsible for the following areas:

Accounts Payable:

  • Enter/Distribute Purchase Orders¬†
  • Match Packing Slips to Invoices
  • Enter/Post Supplier Invoices from Purchase Orders¬†
  • Reconcile Monthly Supplier Statements
  • Enter/Post Overhead Invoices and Credit Card Charges
  • Enter/Print/Post Checks¬†
  • Maintain all W-9 Forms for Year-End 1099 Preparation
  • File Invoices and Receipts

Accounts Receivable:

  • Process Perpetual Agreement Invoices and Payments¬†
  • Prepare, Print and Mail Monthly Customer Statements
  • Collection Calls (as delegated by the Accounting Administrator)

Payroll & Human Resources:

  • Maintain Personnel Files (ensure all necessary documents are completed and completed properly)¬†
  • Maintain all "Change of Relationship" Documents, PTO, Employee Deductions and Garnishments, etc., as necessary to maintain an accurate and complete Personnel File
  • Run Background Checks; Schedule Drug Tests
  • Process EDD Paperwork
  • Update Insurances, Communicate New Hires and Terminations to Insurance Company
  • Scan On-Board/New Hire Packets and Subsequent Documentation into DropBox
  • Time Clock Plus Maintenance Enter New Employees; Set-up Users; Changes; etc.
  • Review/Correct/Print/Distribute all Employee Timecards

General Accounting/Office:

  • Update Company Phone List
  • Order Office Supplies¬†
  • Update Master Vehicle List¬†
  • Renew Business Licenses
  • Other Responsibilities as delegated by Management

  • 3+ years' experience in data entry
  • Experience in Accounts Payable
  • Experience in time card entry/commissions
  • Excellent computer skills with proficieny in Excel, Word, and Outlook
  • Excellent communication skills, both written and verbal
  • Excels at operating in a fast-paced environment
  • Quick apprehension of matters and a readiness to acquire new knowledge and skills
  • Highly Confidential in nature
  • Ability to multi-task; open to direction with a collaborative work style and commitment to getting the job done
  • Performance and results oriented, creative and innovative in finding solutions to problems
  • Bilingual candidates strongly encouraged to apply

Required Education and Experience:

  • High school or equivalent
  • Associates Degree or Certificate preferred but not required
  • At least 2 year's experience in varying aspects of Accounting
